    The Club Name
    The new club name will be Minnesota Subie Owners Club, MNSOC for short.

    We had a smaller turnout on Thursday night, but the meeting was very productive and we had great input from the people in attendance.

    There was some concern expressed at the meeting about the decreasing activity and interest in the club. We decided that it was better to speed up the process and keep people's interest, rather than drag the process out over the whole summer. Remember, the goal for now is to get a group of elected officials in place who can then work on building the club.


    Club Officers
    The first item of discussion was the list of positions that will be available for election for MNSOC. See the second post in this thread for a list of the positions.

    Applications
    An application will be available for paid members who wish to run for a Club Officer position. The form will just be some basic info about you and why you'd be good for that position. This form can be submitted electronically or printed and turned in at a club meeting.

    You will need to email your completed application to [email protected]

    Member Nominations
    You can nominate members for positions, but it's really more of a suggestion. That member himself/herself needs to apply for the position. We just don't want people on the ballot who don't really want to be in that position. We will set-up a specific Nomination Thread.

    You may apply & nominate through May 20th.

    Voting will be held on May 22nd at the meeting and online. Hours of online voting TBA

    The election results wll be verified and then announced to the club at the LaCrosse Cruise on June 7th




    Club Meetings
    So, we are going to have two more meetings this spring, May 8th and May 22nd. May 8th will be a meeting for candidates to introduce themselves to the club. May 22nd will be a meeting for voting. The election results wll be verified and then announced to the club at the LaCrosse Cruise on June 7th.

    The May 8th meeting will be held at Identifix again from 7 to 9pm. We will create another thread for that meeting soon.

    The May 22nd meeting location is yet to be decided, but will be announced soon.

    Club Membership
    You will be required to fill out a simple club application form. They will be available at the meetings or online.

    Cost & payment
    You may pay for club memberships at either of these meetings, the cost is $10.

    Online membership will be done via paypal. The cost will be $12 to cover paypal fees and mailing the membership card. For online payment we will only mail the card so if you want to get the card in person please come to one of the meetings.

    The goals and purpose of MNSOC

    The short term goal is to explore the viability of a "real, legal" club, if it's viable, see how it can grow/move forward and work with members to make it happen.

    The long term goals are to become a respected club with connections in the local Subaru/motorsports community with the ability to organize and run larger events such as track days/driving schools/meets, and work to foster good relationships with dealers and other shops for the benefit of the members.

    Basic rules

    There will be two "official" club member meetings a year where members can vote on items brought before the BOD (Board of Directors). Anyone will be able to attend, but only paid members can bring forward and vote on motions.

    The BOD will be required to have one Officers-only meeting per year.

    The Club should try to organize one official "event" per year. Example: RallyFest, LAX cruise, a fall fun run, etc. This event will be open for everyone.

    Elected office position are 18 months long, 6 months overlap with past officers. So, the first three months of the term are working with the old board, and the last three months are helping out the new board. This is to help the transition between elected officials.

    The website will remain separate for now (ie, elected officials don't have to worry about moderating/running the website).

    Term Information:
    Elected office positions are 18 months long, 6 months overlap with past officers. So, the first three months of the term are working with the old board, and the last three months are helping out the new board. This is to help the transition between elected officials.


    Position: President
    Shall be responsible for presiding over the monthly business meetings and executive committee meetings, vision casting for the group, and leading by example. The President shall vote only when one vote is required to break a tie. The President shall be the second signer on all accounts. The President shall be accountable to the executive committee as a whole and to the Vice-President individually for his actions and decisions.

    Position: Vice-President
    Shall be responsible for assuming the role of the President in the event of an absence or vacancy, and to complete the term of the President in the event a vacancy does occur. The Vice-President will hold the President personally accountable, and will coordinate and hold accountable the standing committee chairpersons. The Vice-President is an ex-officio member of each standing committee, and will be the liaison between the standing committee chairs and the executive committee. The Vice-President shall be accountable to the executive committee as a whole and to the Treasurer individually for his actions and decisions.

    Position: President Elect
    This is the first three months of the new president's term in which they work with the existing president.

    Position: Past President
    This is the last three months of the president's term in which they work with the new president.

    Position: Treasurer
    Shall be responsible for the finances of the group, receiving and dispersing all moneys and rendering account of all receipts and expenditures. The Treasurer shall be the first authorized signer on all group financial accounts. The Treasurer shall be accountable to the executive committee as a whole and to the Secretary individually for his actions and decisions.

    Position: Secretary
    Shall be responsible for recording the meeting notes and publishing those notes to MNSubaru.com

    Position: Member at Large (2 positions)
    Shall be appointed and approved by the general assembly and shall be a member of the executive committee. The role of the member at large is to represent the interests of the general assembly, and to be the watchdog of the executive committee. The member at large may be called on by the other members of the executive committee to aid in the function of their offices. The member at large shall hold the executive committee accountable, and shall be accountable to the general assembly.

    Position: Social Director
    Shall be responsible for Planning, promote and generate enthusiasm and interest for the Club's diverse social programs. Arrange for special publicity needs and supplies for each event; decorate areas for promotions. Keep accurate history on file of each event; write up follow-up correspondence. Book bands and entertainment; agree on fees and times; contract for and monitor entertainment. Coordinate food and beverage; plan and coordinate food promotions. Serve as the Club’s liaison with the social and other committees as appropriate.

    Position: Moderator Liaison
    Shall be one of the existing moderators of the MNSubaru Forums who is elected to the board and will be responsible for communication between the Moderators and the Board of Directors.

    Being a member of the club gets you a couple things.

    1) As a club member, you gain voting rights for the club elected officials.
    2) As a club member, you gain access to the local Subaru dealership discounts (this switchover is in progress)
    3) As a club member, you will get a discount on the club sponsored events.

    Obviously, with the club just starting up, the second two benefits are works in progress.

    So I am going to pay for the membership card but what about the application? Am I suppose to turn it in at a meeting? Because that's hard to do. I have a feeling Firestone Nights will be raining alot.

    No, you don't have to print out the form and turn it in. We'll get most of that info from the paypal form. The only thing we would need is your forum username. You can email that to the same address as paypal ([email protected]) to be sure we get it set up for the right account.

    Russ is working on some site upgrades that will allow you to join through the forum and have it automatically change the status in your account, until then we'll just use email and paypal.

    Yes, there is going to be a big site upgrade coming along. I have alot of it done already. Basically once the upgrades are done, there will be a new user level for the paid members and another forum for the paid memebers. You will have your "member" tag under your name.

    Also, the first $10/$12 membership will be through 2009, so you will be a little over 1.5 years. That will help us make the transition and give the early adopters a bit of a break (We are not Apple:hsugh:).

    Beth just asked me a question about this. She has no need for discounts on a subaru when I already will get them. Is there a possability of a joint membership? make it 15 dollars instead of 10. She wants to be a member and support the club, but has no need for the card.

    any thoughts?

    I'm kinda confused by the application form thingy and have a few more questions.
    1.Do I need to fill the application form out to be a member?
    2.Can I paypal the $$ for me and another member?
    3.If I have to fill out the application form can I do this for myself and another member if I can paypal for him?
    4.When is the deadline to pay for membership?

    1. You don't need to fill out the actual form, but email the same info to [email protected] when you send your payment. Basically we need your mailing address to send the card, and your screenname so the correct account gets credited, and your full name to put on the card.

    2. Yes, as long as the other member's information is included.

    3. Just explain in your email that your payment is for two people and have the info in the email.

    4. You can become a member anytime, but if you want to vote in the upcoming election, please pay for your membership before the election (the election is on may 22nd). If we get last-minute payments we might not be able to process them in time for you to be able to vote.

    All are welcome to donate more than $10 toward their membership.:) But it's obviously not required.

    So, does she want to be able to vote in elections, or just wants to help support the club?

    For voting, people need to have a membership and a card, so I think no discount at this time. $10 is pretty cheap as it is. I think in the future if/when dues go up, we can certainly do family discounts.

    To just support the club, you can send in a few extra bucks anytime.

    i have a question regarding the new forum..

    is there going to be a seperate forum that is "MNSOC" specific? or is this forum going to just be converted? and if it is going to be another forum, are mnsubaru and mnsoc going to be seperate entities or just one like it is now?

    there is a sperate forum for paid members, it's already up and running. once you've paid the fee then you can access it. Also, we're keeping it sperate for now, but time will only tell if they will merge.

    Hmmmm... well that's quite confusing when in all the talking of collecting money for 'the club' it's always been said that the online forums would remain free, and the payment was for members to obtain a club card in order to be able to get discounts at vendors, club events, and to have something cool in your wallet. Also to be able to vote on leadership/board members.
    So really now there will be 2 clubs, MNSOC and a forum for payees, and MNSUBARU forum for freebees?

    The site will always remain free. We have add another forum onto this site for the paying members that can decide "club" things. At this point in time, we are all kinda flyin by the seat of our pants, so things may seem a bit choppy for now. The idea behind the extra forum is for the paying members to decide where the "club" will go. If you can spend the $10 to be a club member, then you lose your voice in making the club decisions.
